Dispute resolution

We are a member of the ECRCS. If you make a complaint and are unhappy with our final response you can refer your dispute to the relevant conciliation service. These organisations independently review disputes with no additional cost to you. The conciliation service can only help with disputes involving a ‘cross-border’ rental transaction occurring within the European Union or UK – you must be a resident of the EU or UK and the rental must have taken place in a different EU country.

The amount of the pre-authorisation taken on pick-up of the rental vehicle is calculated as follows:
 
The vehicle rental price* + €300** (or the equivalence in the local currency) MINUS any sum you have already paid when making a “Pay Now” booking. 
 
* The "vehicle rental price" includes the vehicle rental cost and all optional extras you’ve requested, calculated at the start of the rental based on the intended length of the rental. For the avoidance of any doubt, any “Pay at Location” amount you owe in relation to the vehicle rental (including any optional extras) will be included as part of the pre-authorisation and will be charged to you at the end of the rental (using the card provided for the purposes of the pre-authorisation, unless agreed otherwise).
 
** If you buy our “Fuel Up Front” product, we will reduce the €300 by the amount we charge you for the “Fuel Up Front” product

Travel Partner is available at participating locations across Europe. You can add it to your online reservation when you book your rental – you'll see it when you add Extras to your booking (as long as it is one of our participating locations).  You can also add Avis Travel Partner when you call us to make a booking, or in person at a participating rental station.

We consider your rental a long-term hire if the rental period is at least 28 days.

In case you would like to extend further, we need to open a new rental period with a new rental agreement number.

Our Rental Operations Team will contact you via SMS before the original check in date to ask how long you wish to extend the rental. In the SMS you can find a secure website link where you can add the return date and the current total mileage reading of the hire car in order to extend the rental. (If you already have a new reservation number for the next period, you can add this information as well on the site).

Our Team will process the extension as soon as possible, however for technical reasons, only after the due date of the rental.

In case you would like to discuss your rental extension, you can send us an email or call us during working hours (Monday-Friday 9 AM – 4 PM, CET time +01:00), please make sure including your rental agreement number or the plate number of the car in your email or have this data available before the call.

Yes, if you have Personal Accident Insurance. It also covers you and your passengers if you’re injured in an accident, plus any damage to your personal belongings. Personal Accident Insurance isn’t automatically included with your rental, but you can purchase it over the counter when you collect your hire vehicle. If you drive your hire vehicle through Central London between 07:00 and 22:00, any day of the week, you pay a fixed fee each time you pass through a Congestion Charge zone. When you hire a car within the Congestion Charge zone in London, we can pay on your behalf for the first day of your hire. Just let us know when you collect your car and we will add it to your rental agreement. We know that our customers hire vehicles for many different reasons, and have many different refueling needs. For your convenience, we offer 4 different refueling options:

– Bring Back Full If you bring the vehicle back full, or at the same level as the vehicle was picked up at, there won't be any charge. If there happens to be any missing fuel at the start, and it isn't the same as your rental agreement, please let one of our staff know or take a picture if you are in a hurry.

– Fuel Up Front This option allows you to purchase a full tank of fuel at a lower price per litre than our Pay on Return rates. You pay one flat fee for any amount of fuel, so try to return it as close to empty as you can to get the best value. If the vehicle is returned full, we do not charge you for Fuel Up Front.

– EZ Fuel If you drive for 75 miles (120 km) or less you can pre-pay a flat fee and we will take care of refuelling. If you choose to refuel yourself, please keep the receipt and present it when you return the vehicle.

– Pay On Return If you don’t have the time to refuel and haven’t taken Fuel Up Front, we can do it for you. Please keep in mind that this will incur a small fee. Want some more information?

Yes, we do have vehicles with roof/ski racks available, however unfortunately not all of our vehicles at every location. This service is available at certain rental locations and may depend on the vehicle category selected.

Unfortunately, you would not be able to collect your vehicle if our office is closed. However, if your flight number is present in your booking, we'll be aware of any delay to your flight and will endeavour to keep the vehicle for you. To hire a car in Norway, you need to be at least 19 years of age and have held a driving licence for at least one year. If you or your additional drivers are under the age of 25, you'll need to pay an extra fee (underage surcharge) per day. Yes. You can pay using Visa and MasterCard debit cards. There are a few exceptions: One credit card and one debit card may be required at the counter for higher-value vehicles. The Maestro card is only accepted in Germany. PREPAID cards are accepted online however they are not accepted at the counter which means a non-PREPAID card must be shown at the rental station (together with the PREPAID card). A PREPAID card can be used to pay for the rental at the end of the vehicle hire. Please refer to our location specific terms and conditions for additional information on payment options. Remember, the name on the card must match the driving licence of the main driver. Someone else can't pay on your behalf. And don't forget to bring your payment card when you collect your rental.

We understand you might get delayed, so we try to be flexible. If you’re running late or need to extend your car rental, please make sure you contact us as soon as possible. Should you return the vehicle late – without notifying us or extending your hire – you may be subject to a late return fee. If you fail to extend the rental and you are more than 29 minutes late returning the vehicle, your rental will be extended and you will be charged an extra day’s rental at current pay at location prices plus a late return processing fee for each day or part of a day until the vehicle is returned.

If you overrun past your agreed return date and time, you will incur a late return fee. If you still haven’t returned the vehicle 24 hours later, then another late return fee will be applied. A late return fee will continue to be added every 24 hour period thereafter, until you return the vehicle to the rental station.
Depending on the country of rental, the daily late return fee will be: £15.00/CHF 20.00/150.00 (DKR, NKR or SKR)/between €15 and €18.60 (country dependent), or the equivalent amount in local currency.

In France, with our “Meet & Greet” service, your car will be available at your arrival SNCF train station, even outside of the opening hours of your Avis station.

If the Avis office at the train station is closed when your train arrives, the rental agreement and the keys of your reserved vehicle will be handed to you by an SNCF agent (Offer valid until the closing time of the SNCF station).  As part of a partnership with SNCF, we offer this service for free for all reservations made through SNCF channels (oui.sncf or in SNCF stations). If your reservation was made outside an SNCF channel, this exclusive service is offered to you for only € 20.

RSN is our Roadside Safety Net product. In addition to the standard breakdown assistance included with your rental, our Roadside Assistance Plus (or Premium Roadside Assistance) service covers any non-mechanical issue you may face. This product removes ancillary costs that may be associated with a vehicle breakdown, such as jump starts or towing fees. When selected, RSN will be included on your signed rental agreement at the beginning of your rental. It will be charged at the end of the rental along with any outstanding rental charges.

Windscreen Protection reduces your windscreen excess to zero which means if there's new, non-negligent damage to the windscreen of the vehicle, you will pay a significantly reduced cost, if any cost at all. Once selected, this product will be added to your rental agreement at the beginning of your rental with any associated costs already quoted to you. This will be charged to your payment card at the end of your rental along with any other rental charges. Unlike our other protection options, you won't be able to choose this ahead of time, so please ask about it at the station when you arrive.

At the start of your rental, we will ask your card issuer to hold a sum of money for us. This is a temporary hold against the funds you have available on that card. We do not charge your card and no money is taken from your account. Whether you're hiring a car or van, you just need a clean driving licence that covers the vehicle you're hiring. Don't worry if you have points on your driving licence. You can still hire a car if you have six or less points. You must have held your driving licence for at least one year. This will be different in other countries so ensure you check the Location Specific Conditions. Please remember to bring your driving licence with you when you collect your vehicle. If you're driving abroad, you and your additional driver might also need to bring your International Driving Permits. Very few insurance policies cover you to drive a hire car. Even if you can provide evidence that it does, unfortunately we won’t be able to reduce the amount you pay. This is because the rental agreement is between you and us, not us and your insurance company. Damage cover is included as standard with your rental. Should you have an accident, you will still need to pay a fixed (excess) fee unless you choose to upgrade your cover. However, you could choose to claim this back through your insurance company. The vehicles in our fleet are only available for a certain period.

If your current hire car reaches the end of its service life at Avis, the car needs to be return to the manufacturer. You only need to attend a rental location and we will provide you another vehicle within the same category you currently have.

Our Rental Operations Team will send you an SMS with a secure website link where you can choose a convenient date/time and Avis location for the vehicle exchange.

Our team will then review your requested date/time and fleet availability for that location and in case of any changes will contact you. 

In case you would like to have further information regarding the vehicle exchange process, you can send us an email or call us during working hours (Monday-Friday 9 AM – 4 PM, CET time +01:00), please make sure including your rental agreement number or the plate number of the car in your email or have this data available before the call.

We will send you an automatic reminder SMS before the rental car is due to return.

When a traffic offence occurs, we are notified by the relevant authorities as the registered owner of the vehicle in order to identify the driver of the vehicle. Whenever possible, liability is transferred to the driver of the vehicle at the time of the offence and the authorities re-issue the Penalty/Parking Charge Notice to the driver. We charge an administration fee to cover our costs involved in this process. Following a liability transfer, the authorities contact the driver directly by post with the re-issued fine. Rest assured, the dates of fine payment are updated so that the driver is not affected by the time taken to transfer liability. In some circumstances, liability cannot be transferred and the fine is paid on your behalf by us. The lowest possible fine amount is paid and is charged directly to the customer. Please note, to dispute an offence, the authorities must be contacted directly. Details of the dispute process and all contact details for the authority will be detailed on the re-issued penalty charge notice that you will receive.

Once you bring the vehicle back, the reversal process starts automatically and your bank is notified that the funds should be released. The funds should be available within a maximum of 28 days of the date/time that your rental was checked in. Unfortunately, we only have access to trigger the release of funds and have no control regarding the time taken for your bank to return the funds to your account. As this transaction is a hold of funds and the money does not leave your account, the release will not reflect on your account as a credit or refund, but rather the pending transaction will disappear and your available balance will increase. Your excess is your financial responsibility, or amount you would pay, in the event of damage or theft occurring to the vehicle. The amount you pay depends on the vehicle you hire, which country you hire it in and whether you choose to reduce the excess by upgrading your level of cover. When you hire a vehicle with us, you'll automatically receive third party, vehicle damage (Collision Damage Waiver) and vehicle theft cover to safeguard you on your journey. If you book on the US website you may find that vehicle damage and vehicle theft cover are not included, as some American credit cards provide insurance for car hire. Third party cover is the basic level you need to hire a vehicle, that's why we always include it. Should you damage another vehicle or passengers and their property, you won't have to pay for repairs or injuries. An ACTO (Avis Company Travel Order) is a special voucher businesses give to staff so they can hire a vehicle with us. Simply show your ACTO, driving licence and company ID when you collect your hire vehicle and we’ll invoice your company directly. These vouchers can’t be used for online bookings.

You can either pay for your vehicle when you book online, or when you collect your hire vehicle. If you choose to pay when you book online, we’ll dip/swipe your card to gain authorisation. If you choose to pay at the station, we’ll dip/swipe your card to gain authorisation for the estimated full hire cost (including extras) but won’t take payment until you return your vehicle. Ordering cars into groups helps us provide a premium service, because there is never any confusion over the car you are hiring and whether you're eligible to drive it. For example, in the UK if you hire a car under the age of 25 you can choose from Group A (such as a Hyundai i10), Group B (such as a Ford Fiesta), Group C (such as a Seat Leon), Group E (such as Vauxhall Astra) or Group I (such as VW Golf Auto).

While we try to provide our service to everyone who books a vehicle, there may be circumstances where we cannot give you a vehicle. Some of these scenarios are below:

  • If you did not satisfy the driving licence requirements: A valid driving licence must be provided. An international driving licence or an official English translation, by notary, of the driving licence must be provided if the driving licence was issued in a non-roman alphabet. Additionally, the driver must have held the licence for a minimum of one year, evidence is required to be provided to confirm this minimum duration.
  • If you did not satisfy the identification/security check: you must provide the following documents: The payment card used to make the reservation (plus an additional card is required for certain vehicles), a photographic ID issued within the last 10 years, passports, photographic driving licences, national identity cards and government issued certificates are accepted, proof of address, a recent utility bill or bank statement (driving licences are not accepted as proof of address).
  • If you had Insufficient funds for the pre-authorisation transaction to be processed
  • If you were not within the required age range for the vehicle type
  • If you have any unspent driving convictions
  • If you did not show up at the rental location to collect the vehicle as per the reservation details
  • If you refused to take the vehicle provided and would not accept a replacement vehicle

We understand this is a common concern. When you collect your hire car, we will check it and mark any existing damage on your rental agreement or vehicle condition report. You then sign this to confirm you are satisfied. Rest assured, we will never charge you for any damage that already existed. You will not be charged for any small scuffs and dents you pick up during your journey, as we understand this is normal wear and tear for any vehicle. These are:

  • Panel – abrasions or surface scratches less than 25mm (1inch)
  • Panel – dents less than 25mm (1inch)
  • Panel – paint stone chips (no dent) less than 3mm.
  • Glass chips less than 3mm.
  • Wheels/scratches less than 25mm
  • Interior/seat tears/burns less than 3mm, carpet tears/burns less than 10mm

If further damage was caused to the hire car during your rental, you will be charged in line with industry standards using estimating tools such as Audatex. In the case of any damage, we will charge the total repair costs up to the excess amount, which was agreed at the time of your rental contract unless there was a breach of our terms and conditions.

The Premium Location Fee, which is included in your booking quote, helps to cover the extra operating costs incurred at premium locations such as airports, train stations and city centres. For clarity, this is itemised on the rental agreement and invoice. This document contains all the information you need to know, including the booking price, the vehicle’s condition and the estimated cost of your rental. You don't need to worry about paying for the Dartford Crossing as most of our vehicles from nearby locations are pre-registered with the Dartford Authority. This means that you don't need to do anything extra, we will take payment for the crossings from the payment card used on the rental.

Invoices can be downloaded directly from our website 36 hours after the rental has ended. Before you start, please make sure you have either your reservation or rental agreement number to hand. When you sign up for an online Avis or Avis Preferred account, you are given the option to opt out of receiving invoices by email. If you tick this box, your invoice will be sent to you by post a few working days after your journey.

We offer Rapid Return in over 125 Avis locations across Europe and will hand you a receipt with all the rental charges including mileage and fuel as soon as you return your hire vehicle. If you haven't received your invoice, or need an extra copy, simply request it online.

You pay for each day you hire a vehicle, which is based on a 24 hour rental period. If you return your hire vehicle within 24 hours, you'll still be charged for the full day. There's also no penalty for returning your vehicle up to 29 minutes late, but for returns after this time we're afraid you will be charged for another day as well as a late return fee. Yes, if the vehicle has been involved in an accident or has sustained damage you must report the accident to the police immediately and to us within 48 hours, even if no third party was involved.

Once your booking is cancelled, contact us using the icons below to request your refund. Any funds that are to be refunded can take up to 5-7 working days from the date they are processed. If there are any extraordinary circumstances that may affect the above timeframe, our customer care team will let you know. If you have cancelled your booking on the same day you created it, there is nothing to refund as the charges would not have been made until midnight. Any item listed on your statement in this case will be a pre-authorisation hold, not a debit.

You are charged for each day (24 hours) you hire a vehicle. Whether you hire it for just two hours or 24 hours, you will be charged for the full day. Early Returns: If you return the vehicle and any optional extras early, you will lose the benefit of any special offers if you no longer meet their requirements. Unfortunately no, the name on the rental agreement, the "named" or "main" driver, must remain as it has been reserved.  Should the main driver be unable to drive the vehicle or pick up the reservation, the rental must be cancelled and re-booked under the new designated name at current pay at location rates.  Please note that for any cancelled reservations there may be cancellation fees as set out in our booking terms and conditions

If the rental has already begun, you may wish to add an additional driver so that another individual can drive the vehicle, however the named driver cannot be changed.

If you cannot find your rental car keys, please first call our agents at the rental agency (listed on your rental documentation) and report the lost keys. Usually, we have a spare key for vehicles in a central storage location, which is then ordered for you by the agency.

Additionally, there may also be times when we need to have the rental car towed by a breakdown service if the keys cannot be secured otherwise.

You will be responsible for any loss or damage to the rental car keys. The amount of these costs depends on the country of rental. Costs resulting from loss of keys, such as towing service and replacement of the keys, must be paid by the customer.

Smoking is strictly prohibited inside all of our vehicles. If we believe that someone has smoked inside the car during the rental period, an additional charge will be applied to cover our added specialist cleaning costs.

If, on the other hand, at the beginning of your rental you notice a cigarette smell, please let the station know and we will provide you with a new vehicle.

The Congestion Charge zone covers Central London. It spans Hyde Park in the west to Vauxhall in the south, Tower Hill in the east and Regent's Park in the north. Windscreen Protection reduces your windscreen excess to zero which means if there's new, non-negligent damage to the windscreen of the vehicle, you will pay a significantly reduced cost, if any cost at all. Once selected, this product will be added to your rental agreement at the beginning of your rental with any associated costs already quoted to you. This will be charged to your payment card at the end of your rental along with any other rental charges. RSN is our Roadside Safety Net product. This product removes ancillary costs that may be associated with a vehicle breakdown, such as jump starts or towing fees. When selected, RSN will be included on your signed rental agreement at the beginning of your rental. It will be charged at the end of the rental along with any outstanding rental charges. We understand you may need to return your hire vehicle when we're not here, especially if you're flying from an airport during the night. That's why at many locations you can return your hire vehicle when it suits you. Just leave your keys in our secure drop box. Please remember you are responsible for the condition of your hire vehicle until we check it. When you collect your hire vehicle, we'll let you know where to park it on your return. Find out whether 24 hour drop off service is available at your hire station.

We offer theft protection with all our hire vehicles to assist in the event of all or part of your hire vehicle being stolen. The amount you pay depends on the vehicle you hire and where you hire it from. We offer a number of coverage packages to reduce your liability however, stay vigilant as you will not be covered should you leave your hire vehicle with the keys in it. Your booking quote and rental agreement will identify your liability level and our local representatives will also be happy to discuss your available upgraded coverage options when you collect your vehicle.

I am sorry to hear that you were not able to retrieve your invoice. The invoice is available 36 hours after your rental has ended.

You can pay for Fuel Up Front when you collect your hire vehicle. This simply means that you pay for a full tank of fuel upfront, saving you the hassle and time of refuelling before you return. This not only saves time but also money, because we offer a discounted rate compared to our fuel on return rates. If you choose Fuel Up Front but bring your hire vehicle back with a full tank, don’t worry, we won’t charge you for Fuel Up Front. But if you bring it back partly full, unfortunately we can’t provide a refund and you will be charged the full amount as listed on your rental agreement, so try to return the vehicle as close to empty as possible.
